Digital file management from the end of 2024 in the state capital Berlin

Berlin plans to switch to digital file management from the end of 2024. This should significantly reduce waiting times for citizens at public authorities. In addition, required data will be available more quickly. The German capital announced this in a press release.

Berlin switches to digital file management

Berlin’s Mitte district office has already been using digital file management since mid-May 2022. Apparently, the first month since its introduction went well, because, as Interior Senator Iris Spranger and the City of Berlin have announced, the digital file will be introduced for Berlin employees by the end of 2024 and will then be part of everyday work.

The fact that the changeover will take time should be clear in view of the sheer size of the Berlin authorities. Around 70,000 PC workstations in around 80 authorities will then be converting to digital files across the board. According to the Senate Department for the Interior, Digitization and Sports, this is the beginning of a “fundamental change towards the administration of the future”.

Berlin’s Senator of the Interior, Iris Spranger (SPD), continues: “Electronic file management will simplify and accelerate many things, so that the administration of the state of Berlin has more time for its most important task: The services for the citizens of our city.”

Spranger also appeals to managers and employees, because the digital work also requires new patterns of thinking and behavior. For this reason, the authorities are accompanied in the introduction at an early stage to facilitate the transition.

District Office Mitte with digital file since May 16

The digital file has been gradually introduced among the approximately 3,000 employees of the Mitte district office since May 16, 2022. The start is being made by the control service. In the future, this will allow documents and information to be created digitally with just a few clicks and within a few seconds.

Finding files and important processes also benefits from digital file management: documents can be called up regardless of location, as well as shared with colleagues. Which also increases work efficiency. The IT Service Center (ITDZ) Berlin operates the “ICT Basic Service Digital File” in the Berlin state network. The general contractor for the rollout is Materna Information & Communications SE.

According to a report in the Berliner Morgenpost, the introduction of digital record keeping will cost a total of 135 million euros. 15 authorities are to be digitized this year. Among them are the interior administration, the police, the judiciary and many more. Furthermore, the digitalization and location-independent access to files will also strengthen the home office approach in Berlin authorities, according to Senator Spranger.
